A yearbook is one of the few things a student keeps for life. It holds first-day smiles, team photos, club candids, and the names of the friends who shaped a year.
Behind every page is something just as important: personal information. Student names, photos, grade levels, and sometimes messages from parents all go into building a book. At Picaboo Yearbooks, we believe yearbook privacy is part of protecting the memories themselves. Below, we explain why student photo privacy matters, how we protect student data, and what schools and families can do to help.
Why Student Photo Privacy Is Different
Most yearbook contributors are minors. That makes yearbook photos and student data more sensitive than a typical online photo album.
Photos can travel. Once an image is shared online, it can be copied, reposted, or used out of context.
Details add up. A name, school, grade, and photo together can reveal more about a student than any one piece alone.
Families expect care. Parents trust schools and their yearbook partner to handle their children's information responsibly.
Some students need extra protection. Students with custody arrangements, safety concerns, or opt-out requests depend on accurate privacy controls.
A good yearbook program celebrates every student while keeping their personal information safe.
How Picaboo Yearbooks Protects Student Data
Our Privacy Policy spells out how we handle student photos and family data. Here are the commitments that matter most.
We never rent or sell personal information. We share information only when needed to make and deliver your yearbook, such as with a shipping company or payment processor. Those partners get only what they need to do that job.
We collect as little as possible from young students. For children under 13, we collect information only when their school has contracted with us to do so. Schools must notify parents before any information is collected. The information we request is limited to what a yearbook needs: the student's photo, name, grade, teacher, school, and basic account details.
Books stay within your school community. Yearbook content is visible only to members of your school's group who have been given an access code. Custom pages you add to your own personalized copy are visible only to your account.
No face recognition, no extra profiling. We do not use face recognition in our yearbook program. We also do not collect or store biographical data such as age, race, or gender beyond what is needed to produce the book.
Your data is protected. Accounts are password protected, and payment information is encrypted during checkout. We use strict access controls and regular audits to prevent unauthorized sharing. Mobile information is never shared with third parties for marketing without your consent.
We don't keep what we don't need. We follow the principles of data avoidance and data economy:
Six months after a yearbook project is locked, we delete uploaded photos that were not used in the final book.
Deleted projects are kept for six months only so accidental deletions can be recovered.
When an authorized school contact requests in writing that a project, photos, or an account be deleted, we complete the deletion within 30 days.
Photos imported through Facebook are deleted from our database within 24 to 48 hours of a deletion request.
Parents stay in control. Parents can ask us to update or delete their child's information, or to stop further contact with their child. We respond to these requests within 30 days.

Technology helps, but everyday habits matter just as much. A few simple practices go a long way.
For advisers
Collect and honor photo opt-out requests before pages go to print.
Give student staff access only to the pages and photos they need.
Review candid photos for anything a student or family might not want published.
For student staff
Use first and last names only where the school's guidelines allow.
Never share unpublished photos on personal social media.
Ask before including someone in a candid shot.
For parents
Share only the photos you are comfortable seeing in print.
Let the school know about any privacy concerns or opt-out needs early in the year.
